Service Management Assistant Co-Op Position

R&R Pools is an Inground Swimming Pool construction company specializing in residential swimming pool projects. R&R Pools strives for the highest quality workmanship and ultimate client satisfaction.

We are currently looking to expand our service division to help serve our clients better.  This role supports the service manager ensuring that operations are carried out effectively and efficiently. Being detail oriented, systematic in your approach, and having the ability to follow structured processes are a must! We are looking for some who can maintain a positive, energetic team with a Can Do! Attitude.

What You Can Expect

This role offers you the opportunity to be a valued member of our team, to perform meaningful work supporting the service manager in the day-to-day management and coordination of the service department and ensure staff follow company policies and procedures.

R&R Pools is committed to providing a co-op experience that allows students to ask questions, be curious and jump start their careers in a challenging and engaged environment. This position will provide you with the opportunity to gain practical accounting experience, learn how to manage a service team, and build relationships with customers and coworkers.

Position type:

Full time (35-40 hrs/week), Seasonal (16 weeks from Late April/Early May – Late August/Early September)

Compensation: $20/hour

Position Responsibilities

  • Assist with the management, supervision, and direction of the service team
  • Support the service and retail teams daily activities
  • Ensure service teams operate in a safe and responsible manner by following policies and procedures
  • Deliver amazing customer service to existing client base that is:
    • Attentive
    • Resolution focused
    • Responsive
    • Managed from beginning to full resolution
  • Administrative duties; answering phones and emails, data entry, assisting customers, preparing mail, filing, photocopying, and scanning
  • Provide prompt and consistent communication between the staff and clients
  • Deliver timely and accurate job service, quoting, scheduling, training, follow-ups, invoicing, and record keeping
  • Ensure accurate recording of sales/service orders and follow your quotes through to final payment
  • Promote accepted quotes and coordinate with service manager to provide prompt scheduling
  • Ensure tracking and accounting of vehicles as well as vehicle maintenance checks and repairs
  • Oversee Safety Meetings
  • Troubleshoot problems, sell, and suggest products and services
  • Assist with other tasks and responsibilities as assigned by management

Minimum Requirements

  • Currently pursuing a management discipline and enrolled in the Co-Op program
  • The ability to thrive in a fast-paced and collaborative, team-based environment
  • Self-driven, organized with a high level of personal accountability
  • Desire to work with small, family run and operated businesses
  • Intermediate PC skills (Microsoft Excel & Word)
  • Effective communication skills (oral and written)
  • Superior attention to detail, time management and organizational skills
  • Ability to work independently, meet deadlines and work well under pressure
  • Quick learner with a keen interest in developing operational management skills
  • Must have a service focused approach and enjoy dealing with the public
  • Must have a valid NS Drivers License
  • Experience in any of the following areas are an asset:
    • A previous oversight role
    • A high-pressure environment
    • A retail store
    • Humour
  • Can lift, move, and otherwise maneuver physical objects weighing up to 50 pounds
  • Can frequently stoop, kneel, crouch, or crawl; stand, sit, walk, climb or balance
