This page is designed to give you a clear understanding of how your project will unfold, what is required at each stage, and how we move through the process together.

Every project is different, but the structure remains the same. Knowing what to expect ahead of time helps avoid delays, confusion, and unexpected decisions during construction.

Fibreglass Pool Payment Structure

  • 10% deposit to secure your project and lock in your position
  • 70% due once your dig day is confirmed and scheduled
  • 10% due when the project is ready for decking
  • 10% due at completion and final handover

Vinyl Liner Pool Payment Structure

  • 15% deposit to secure your project
  • 40% due prior to excavation
  • 35% due prior to liner installation or decking, whichever comes first
  • 10% due at completion and final handover

Project Stages

Every pool is built in structured phases. While some steps overlap, this outlines how your project comes together from planning through to completion.

Stage 1: Planning & Pre-Construction

This stage begins after your consultation and continues through final approvals.

  • Approval of your quote and project scope
  • Deposit received and tentative timeline established
  • Finalization of pool design, layout, and placement
  • Colour and material selections (pool, liner if applicable, decking, coping, covers)
  • Equipment placement planning
  • Permit process initiated (homeowner responsibility)
  • Pool, autocover, and key materials are ordered

This stage ensures key planning, approvals, and selections are completed before construction begins. It helps confirm the project is aligned and ready to move forward.

Stage 2: Layout & Excavation

This is where your project becomes real.

  • Pool layout is marked onsite using spray paint
  • Excavation begins using pool-specific dig specifications
  • The excavation area will be larger than the pool to allow for plumbing, installation and support

You will see heavy equipment on-site during this stage, and it is typically the most disruptive part of the project.

Stage 3: Base Preparation & Pool Installation

Fiberglass Pools

  • Base material is installed and prepared
  • The pool is delivered and placed using a crane
  • The pool is carefully set, levelled, and adjusted to fit precisely

Vinyl Liner Pools

  • Pool walls are assembled and secured
  • The base is shaped and prepared
  • Initial structural work, including rough concrete and bottom preparation, is completed

This stage is critical to the long-term performance of the pool and is done with precision.

Stage 4: Plumbing, Electrical & Backfilling

  • Plumbing and fittings are installed
  • Electrical work progresses as access becomes available
  • The pool is filled with water while backfilling occurs to maintain equal pressure and stability

Many steps in this stage happen simultaneously as the project progresses.

Stage 5: Structural Support & Preparation

  • Reinforcement is installed around the pool perimeter
  • Bond beam is formed and poured to provide structural stability
  • Coping is installed (vinyl pools)

Stage 6: Decking, Liner (if applicable) & Finishing

  • Deck and equipment pad preparation and installation (concrete, stone, or combination)
  • Vinyl liner installation (for vinyl pools)
  • Shed or Pool House installation begins if included
  • Equipment installation and system setup
  • Site cleanup and preparation for final use
  • Fencing installation
  • Landscaping and lighting begins if included

The order of some steps may be adjusted depending on scheduling and site conditions.

Stage 7: Startup, Handover & Ongoing Support

  • The pool is filled, balanced, and made operational
  • On-site handover lesson provided
  • In-store water chemistry training and product guidance
  • Transition to service support

What to Expect On Site

Throughout your project, there will be times when:

  • Full crews are onsite completing a major stage
  • Smaller teams are onsite working through specific tasks
  • No one is onsite while the next phase is being coordinated

When our team is onsite, they are focused on maintaining productivity, quality, and safety.

Project Timing & Scheduling

Every pool project follows a structured process, but timelines may vary based on site conditions, materials, and scheduling.

Factors that can influence timing include:

  • Weather
  • Material availability including concrete, fencing, and liners
  • Special-order items
  • Coordination of trades and subcontractors

Each project follows its own natural timeline as these elements come together.

How Scheduling Works

To keep projects moving efficiently, we manage multiple pool builds at different stages at the same time. This helps maintain quality, coordinate trades effectively, and keep projects progressing smoothly.

This means:

  • We will not be onsite every day
  • Different trades are scheduled at different stages
  • Work may happen in concentrated periods followed by quieter periods

This is a normal and necessary part of managing projects efficiently while maintaining quality.

Key Project Meetings

Throughout your project, several key meetings are built into the process to keep everything aligned, decisions clear, and construction moving smoothly. These checkpoints help guide you from design through completion and ongoing care, ensuring you always know what comes next.

1. Design & Selection Meeting

This takes place before your pool is ordered.

During this stage, we finalize:

  • Pool design, size, and layout
  • Colour selections including pool shell or liner, coping, decking, safety cover, and fencing
  • Overall project vision using a colour board and landscape design

Depending on product availability or timing, some selections may be confirmed later in the process.

2. Pre-Construction Onsite Meeting

This meeting takes place prior to excavation and is an important step in preparing for construction. Both homeowners should be present.

During this meeting, we review:

  • Final pool placement and layout onsite
  • Equipment location
  • Concrete and fencing layout
  • Grading considerations, including lot grading plan if required
  • Project timing, including dig day where possible

This meeting ensures everything is clearly understood before work begins.

3. Handover Meeting

This takes place once your pool is complete and operational. Both homeowners should be present.

You will receive:

  • A full walkthrough of your pool equipment and system
  • Instructions on how to operate and maintain your pool
  • Your project documentation and manuals
  • Final payment coordination

This marks the transition from construction to ongoing support.

4. In-Store Water Care Lesson

Following installation, you will attend a water care session in-store. Any homeowners who will be maintaining the pool should be present.

This includes:

  • Water testing guidance
  • Chemical instruction and product recommendations
  • Ongoing maintenance best practices

Permits & Approvals

Permits are a required part of any pool project and help ensure your installation meets local bylaws and safety requirements.

In most cases, R&R Pools will handle the permit process as part of your project. This allows us to manage timelines, ensure accuracy, and help avoid delays.

If you prefer to obtain your own permit, we can support you through the process and provide the information required.

What's Typically Required

Depending on your location, permits may include:

  • Building or development permits
  • Lot grading permits, if applicable

To complete a permit application, a site plan is required showing:

  • The location of the pool and its distance from all property lines
  • The location of pool equipment, with a minimum 4 feet from property lines
  • Existing and proposed structures, including garages, decks, sheds, and similar items
  • Easements on the property
  • Fence layout, height, and material
  • Gate locations with self-closing and self-latching hardware

Site Plan Guidance

To simplify the process, we recommend using one complete drawing that includes all required information.

You may already have a site plan from your home purchase or build. If not, options include:

  • Ordering a copy from the Nova Scotia Deeds Registry
  • Creating a basic plan yourself using measurements
  • Using a third-party service to generate a plan

Exact precision is not required at this stage, as final adjustments are made during construction.

Timing & Coordination

Permits can be applied for early in the process to avoid delays.

While some permits may show shorter validity periods, construction permits are typically valid for up to two years, including extensions if required.

Early submission allows time to address any issues before your scheduled start date.

Important Notes:

  • Permit costs and lot grading requirements are included or excluded based on your approved quote
  • Landscape remediation required to meet permit conditions is not included unless specified
  • If you are obtaining your own permit, you are responsible for submitting all required documentation and closing the permit
  • Once your permit is approved, please forward confirmation so we can proceed with scheduling

All permit costs and landscape remediation are outside the scope of our quotation. This also includes communications with the permit office.

Decking Question Note: In previous years, clients who clicked "decking" were asked for information pertaining to a raised wooden deck. In-ground pools have a ground-level deck and do not require an additional permit. Do not click decking. This is a computer oversight, and we cannot confirm if it has been fixed.

Landscaping & Drainage

Depending on the scope of your project, landscaping may be included as part of your approved quote.

Where landscaping is not included, the area around the pool will be left at rough grade, ready for the next stage of work, such as topsoil, sod, and planting.

Please note that rough grading may not meet final lot grading requirements. Additional landscaping or grading work may be required and is the homeowner’s responsibility unless otherwise specified.

While we take care to manage water flow during construction, final drainage, grading compliance, and remediation are not included unless outlined in your quote.

Landscaping and drainage preparation

Subcontractors & Trade Coordination

We work with a consistent group of trusted subcontractors to support your project.

This allows us to:

  • Maintain quality
  • Control scheduling
  • Ensure consistency in how work is completed

Our subcontractors understand our standards and how we operate, which helps your project move efficiently and smoothly.

If you prefer to use your own contractor, we may be able to accommodate this. Additional coordination, scheduling adjustments, or consulting time may be required and could impact project timing and cost.

Trade coordination and project planning

Shed Pads & Equipment Areas

If included in your approved quote, we will install a concrete pad for your pool equipment.

In many cases, equipment is installed and operational before a shed or pool house is built. If the structure is added later, equipment may need to be disconnected and reinstalled.

This work may require both a pool technician and an electrician, and would be completed at an additional cost.

Allowances & Pricing

Some items in your project may be listed as allowances, such as:

  • Decking
  • Fencing
  • Electrical
  • Pool sheds and houses

These items are based on estimated pricing at the time of quoting.

Final costs reflect actual supplier and subcontractor pricing at the time materials are ordered and work is completed. Pricing may vary depending on market conditions.

Safety Covers

Safety covers are installed during the pool closing process after final payment has been received.

Installation requires drilling into finished surfaces such as concrete or stone.

Minor cracking, chipping, or stone cracks can occur during this process and is considered a common part of installation.

Communication

We aim to keep you informed throughout your project while also respecting your time.

  • Updates are provided during active stages of your project
  • Email is the best method for non-urgent communication
  • After-hours communication may occur when necessary
  • Sundays are reserved for urgent matters only

Cancellation Policy

Deposits are partially refundable prior to ordering materials. Once the pool or special-order items have been ordered, deposits become non-refundable.

Once your pool is complete and operational, we guide you through everything you need to know before you begin using it.

This includes:

  • A full handover lesson on how your pool system operates
  • Instructions on water care and maintenance
  • Review of your equipment and setup
  • Final project documentation

This marks the transition from construction to ongoing ownership.

Ongoing Support & Service

After handover, your project transitions to our service team.

We support:

  • Pool openings
  • Pool closings
  • Safety cover installation
  • Ongoing maintenance

We also recommend regular in-store water testing to help keep your pool operating smoothly and as hands-off as possible.

Our service booking periods fill quickly, and we recommend scheduling early to secure preferred timing.
